JDA Coaching (“we”, “our”, “us”) provides youth football coaching and operates the JDA Coaching mobile app and this website. This policy explains what personal data we collect, why we collect it, and the rights you have under UK GDPR and the Data Protection Act 2018.
We are the data controller. You can contact us at info@jdacoaching.co.uk about anything in this policy.
This policy covers your personal data. The commercial terms that apply when you book with us are covered separately in our Terms & Conditions, and cancellations/refunds in our Refund & Cancellation Policy.
Who we are
JDA Coaching is operated by Jamie Aquilina (sole trader), 33 Chertsey Road, Ashford, Middlesex, TW15 1SR. We are registered with the Information Commissioner’s Office under reference C1927612.
What we collect
When a parent or guardian creates an account, books a trial, enquires, or books a camp or programme through this website or the JDA Coaching app, we collect:
- Parent’s name, email address, and phone number
- Each child’s name, date of birth, and team or age group
- Photographs of the child taken during sessions or matches (only with consent)
- Attendance records, RSVPs, and coach feedback for sessions
- Payment records for memberships, camps and programmes (handled by Stripe; we do not store full card details)
- Device tokens for sending push notifications about sessions
We do not knowingly collect data directly from children under 13 except as described above, where a parent or guardian has provided the information on their behalf.
How we use it
We use this data to:
- Run sessions: confirm who is attending, send reminders, share session reports
- Communicate with parents about upcoming sessions, fixtures, and club news
- Process payments for memberships, camps and programmes
- Track player progress and provide coaching feedback
- Promote the club on social media (only with consent – see below)
Photography and video
We sometimes take photos and short videos at sessions, matches, and events. These may be used in coaching reports, on our website, and on JDA Coaching social media accounts (Instagram, Facebook, TikTok).
You can opt out at any time by emailing info@jdacoaching.co.uk. If you opt out, we will not use any image of your child for promotional purposes.
Sharing your data
We do not sell or rent your data. We only share it with:
- Stripe – to process payments
- Supabase – our secure database provider, hosted in the EU
- Apple and Google – for app delivery and push notifications
- Resend – for sending transactional emails
- League officials and venue staff – only when necessary for fixtures and bookings
How long we keep it
We keep parent and player data for as long as the family is an active member of the club, plus 24 months afterwards for accounting and safeguarding records. Photos may be retained longer in our marketing archive unless you opt out.
Your rights
Under UK GDPR you have the right to:
- See what data we hold about you and your child
- Correct anything that is wrong
- Ask us to delete data (subject to our legal record-keeping obligations)
- Object to your child appearing in marketing material
- Withdraw consent at any time

Complaints
If you are unhappy with how we have handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk or 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The “Last updated” date at the top will reflect any changes. Material changes will be communicated via the JDA Coaching app, website, or email.
